Bookkeeping How-To
Bank Reconciliation Walkthrough
A concise, seven-step procedure for importing a bank CSV, matching activity to your ledger, and closing the period cleanly.
Key Steps at a Glance
- 1
Export Your Bank Activity
Sign in to your bank and download a CSV of the statement period you want to reconcile. Include date, description, amount, and (if available) a running balance.
- 2
Open Bank Reconciliation
From the left sidebar, choose Bank Reconciliation. Pick the account you're reconciling and confirm the opening balance matches your bank statement.
- 3
Import the CSV
Click Import CSV and drop in the file. CheckSmith.ai detects the header row automatically; adjust the column mapping if any field is misidentified, then continue.
- 4
Review Suggested Matches
CheckSmith.ai proposes matches between imported bank lines and existing ledger entries. Confirm high-confidence matches in bulk and inspect anything flagged for review.
- 5
Categorize Unmatched Transactions
For lines with no ledger match, assign an account and (optionally) a client or tag. Use Bulk Categorize for repetitive vendors — the Ai classifier learns your patterns.
- 6
Investigate Discrepancies
If the ending balance doesn't tie, use the Difference panel to isolate missing deposits, duplicate posts, or timing differences. Add adjusting journal entries where needed.
- 7
Lock the Period
Once the balances agree, click Mark Reconciled. The period is locked against edits and a reconciliation report is saved for your audit trail.
Before You Start Checklist
- You have the bank statement PDF or CSV for the target period.
- Prior period is already reconciled (or you know the true opening balance).
- Chart of accounts includes the categories you plan to use.
- You have edit access to the workspace and the bank account record.
